FORMAT

1. Note of Invitation (informal)

What invitation it is;

Time and place

Reason for inviting the addressee

Other details about the invitation

(optional) A reply is expected.

The pleasure at seeing the addressee on the occasion.

2. Note of Introduction

The person to be introduced

His/her identity

The purpose of the introduction

Appreciation

3. Note of Thanks

Gratitude

The pleasure at the gift or help itself

The appreciation of the sender’s (if it is a gift) consideration or his/her cleverness at picking out the right thing

4. Note of Congratulations

How “I” get the news and what the news is

“My” happiness for the addressee

(a few words of compliment if it is some achievement)

Extend congratulation.

5. Note Accepting an Invitation

Appreciation for being invited and accepting the invitation

Ask for more details or offer help

Promise to be punctual

6. Note refusing an Invitation

Appreciation for being invited and refuse the invitation

Reasons for the refusal

Regret fro missing the occasion

Good wishes.

Suggestion for a make-up.

7．Note of Complaint:

What you hope to complain about;

Details of the complaints (a short narration of the case or a brief description); What you want to be done;

Ask for a reply.

8. Note of Apology:

Express your apology;

Reasons for the apology ( detailed and reasonable);

Suggestion for compensation or make-up (sincere);

Appreciation for tolerance or forgiveness.

9. Note of Condolence:

How you got the news and what the news is;

Your reaction to the news;

Some complimentary words for the passed-away;

Some words of comfort.

10. Telephone Message:

The name of the caller and the exact time of the call;

The exact content of the message.

Note: Be objective (Reportive speech may help.)

Do not add any information.

11. Note offering something:

State the specific offer exactly;

Reason for the offer;

(optional) ask for a reply.

12. Note Making arrangement:

Purpose of the note;

Be precise as to the time, place and the arrangement;

(usually) ask for a reply.

13. Note of Asking-after:

Purpose of the note: keeping in touch;

Some information about yourself (life, work, new address etc.)

Ask after the friend;

Good wishes to keep in touch.

14. Note Receiving News:

How you got the news and what the news is;

Your reaction to the news;

(Your wish to know more);

Wishes or asking for a reply.
